Privacy Policy

1. About this policy

This Privacy Policy explains how Fahd Digital Ventures LLC, a company registered in the United Arab Emirates, which operates NoteWhisper ("NoteWhisper", "we", "us" or "our"), collects, uses, shares and protects personal data when you use the NoteWhisper apps, website and related services (the "Service"). We are the controller of the personal data described here.

2. The short version

• NoteWhisper processes what you choose to capture. It does not record in the background.
• Suggested memories are kept only after you accept them.
• We do not sell your personal data or use it for advertising.
• We do not use your captures or memories to train AI models without your explicit permission.
• You can export or delete your data at any time.
• NoteWhisper is not end-to-end encrypted: to understand what you say, we process your content on our servers.

3. Data we collect

• Account data: your name, email address, sign-in method, language and time zone settings. If you use a password, we store only a one-way hash of it.
• Content you capture: voice recordings, transcripts, typed notes, text and links you share into the app, photos, screenshots and voice messages you share or pick, and documents or messages you choose to import.
• Your memory: the people, plans, places, preferences and other information built from your content and accepted by you, including when each item was true, where it came from, and the records needed to honour your corrections and deletions.
• Connected account data: from accounts you connect, such as Google or Microsoft, only the calendars, task lists, contacts and mail folders you select, and only the messages you choose to import.
• Location: approximate or precise location, only when you allow it for a request that needs it. We do not track your location in the background.
• Device and usage data: device type, app version, notification settings, and privacy-safe diagnostic information such as counts, states and timings rather than your content.
• Payment data: your plan, subscription status and billing history. Card details are handled by our payment provider, and we never see or store your full card number.
• Whisper Cards: the content you choose to share, and replies from the people you share with, which stay attributed to them.
• Support messages: what you send us when you ask for help.

4. How we use it, and why

• To provide the Service, including capture, transcription, building your memory, answering questions, reminders, Talk, sharing and the actions you approve. We do this to perform our contract with you.
• To keep the Service and your account secure and to prevent abuse, based on our legitimate interests and our legal obligations.
• To process payments for paid plans, to perform our contract with you.
• To communicate with you, for example to verify your email, answer support requests and tell you about important changes.
• To keep NoteWhisper reliable using privacy-safe diagnostics, based on our legitimate interests.
• With your consent where the law requires it, such as for microphone, location, notifications and connected accounts. You can withdraw consent at any time in the app or your device settings.

5. Automated processing and AI

We use automated systems, including AI models from specialised service providers, to transcribe audio, understand your captures, answer your questions and hold Talk conversations. These providers process your content only to provide the Service to us, under contract, and are not permitted to use it to train their own models.

We do not use your captures or memories to train AI models without your explicit permission. Suggested memories are not kept until you accept them, and NoteWhisper does not make decisions with legal or similarly significant effects about you.

6. When we share data

We do not sell your personal data. We share it only:

• With service providers who help us run NoteWhisper, such as cloud hosting and storage, AI processing, email delivery, notification delivery, maps and places, and payments. They act on our instructions and under contract. A current list is available on request from privacy@notewhisper.com.
• With services you connect, when you ask NoteWhisper to act in them.
• With people you share with, limited to the Whisper Card you create.
• For legal reasons, when we must comply with the law or protect the rights and safety of people or the Service.
• In a business transfer, such as a merger or acquisition, under the protections of this policy. We will tell you before your data becomes subject to a different policy.

7. International transfers

We and our service providers may process your data outside the country where you live, including in India, the United States and other countries where our providers operate. Where the law requires it, we use appropriate safeguards for these transfers, such as contractual protections.

8. How long we keep it

We keep your content and memory for as long as your account exists, unless you delete them sooner. You can choose how long original recordings are kept.

A photo or screenshot you share or pick is kept only as long as a recording, 24 hours unless you choose otherwise, and then deleted. We keep only the text read from it and the short description of what it shows. To read it, we send it to our AI provider once, with storage turned off.

When you delete something, NoteWhisper stops using it straight away and removes it from active systems, including anywhere it was used or shared. Backup copies expire on a fixed schedule. We keep limited records for longer where the law requires it, such as billing records, and a record that a deletion happened, without its content.

9. Security

We protect your data with encrypted connections, strict separation between accounts and careful access controls. No system is perfectly secure, and we tell you plainly what we do and don't promise on our security page.

10. Your rights

Depending on where you live, you may have the right to access, correct, delete, restrict or object to the processing of your personal data, to receive a copy in a portable format, and to withdraw consent. Many of these you can do yourself in the app and your account center: review, correct, restrict, export and delete are built in.

For anything else, write to privacy@notewhisper.com. We may need to confirm your identity before acting on a request, and we respond within the time the law requires. You can also complain to your local data protection authority.

11. Children

NoteWhisper is not intended for anyone under 18, and we do not knowingly collect personal data from children. If you believe a child has given us personal data, please contact privacy@notewhisper.com.

12. Cookies and browser storage

Our website uses only the browser storage needed to keep you signed in and remember your preferences. It does not use advertising or analytics cookies. See our Cookie & Storage Notice.

13. Changes to this policy

We may update this policy as NoteWhisper changes. If a change is material, we will tell you in the app or by email before it takes effect, and we will always show the date of the latest version at the top of this page.
